The OHSU-PSU School of Public Health (SPH) is aligned with the American Public Health Association in declaring racism a public health crisis, and our School is committed to becoming an antiracist SPH. One result of these efforts is the creation of a Student Success Center, which aims to provide SPH students with the support, resources, and opportunities needed to thrive.

The Administrative Coordinator for the OHSU-PSU School of Public Health Student Success Center will oversee front desk operations and provide administrative support to ensure efficient operation of the center and its staff. This position will support staff and students by assisting with tasks related to organization, communication, and general administration, as well as directing students to resources and support. The Administrative Coordinator will also interact with faculty and other guests, as the Student Success Center is located in a semi-shared space.

Function/Duties of Position

Operations Oversight for Student Success Center

  • Provide oversight and staffing for the front desk. Duties include: greet guests, direct phone calls, emails, and other inquiries from students, staff, faculty, and other stakeholders
  • Order office supplies (in collaboration with the School of Public Health front desk team and SPH Executive Specialists) and reconcile P card purchases
  • Assist with organizing and scheduling in-person, hybrid, and virtual student appointments and workshops
  • Coordinate Student Success Center meetings and take detailed minutes during staff meetings and other events as needed
  • Support the communication needs of the Student Success Center by contributing to newsletters and social media posts, writing and distributing emails, flyers, letters, and forms related to the Student Success Center’s programs and services
  • Assist in the preparation of regularly scheduled reports related to student engagement and success
  • Develop and maintain a filing system for records and program information
  • Update and maintain office procedures related to the Student Success Center’s programs and services
  • Provide broad support to students visiting the Student Success Center, including directing them to resources, answering general questions, and booking meeting rooms
  • Act as the point of contact for internal and external contacts related to the Student Success Center’s programs and services
  • Collaborate with School of Public Health administrative staff and student workers to handle requests and queries

 
Event Support

  • Schedule Student Success Center events, track RSVPs and attendance, manage catering orders, coordinate physical space and technology needs, and other event logistics
  • Assist with School of Public Health events including, but not limited to: All-School Meetings, OHSU Commencement and Hooding Ceremony, PSU Commencement, Fall Welcome (orientation) for students, and other celebrations, training sessions, and/or meetings

Required Qualifications

  • An associate degree or certificate in office occupations or office technology and two years of general office or secretarial experience OR
  • a bachelor’s degree and two years of general office experience OR
  • four years of general office or secretarial experience OR
  • an equivalent combination of training and experience
  • Experience working with individuals from communities most impacted by health inequities (BIPOC, low-income, immigrant, houseless, etc.)
  • Proficiency in general office software and technology programs (Google Suite, Microsoft Outlook 365, Adobe, Zoom, etc.)
  • Ability to successfully manage competing priorities and multi-task to meet goals and deadlines
  • Demonstrated ability to work independently AND in a team environment
  • Strong organizational skills with attention to detail
  • Strong verbal and written communication skills

Preferred Qualifications

  • Public Health degree or coursework
  • 2+ years of experience working in a college/university setting
  • Experience in data collection and database maintenance
  • 2+ years of experience working in a complex organizational setting
  • Familiarity using iExpense for Purchasing card reconciliations and reimbursements
  • Ability to understand and successfully navigate power dynamics in the workplace
