Important dates new SPH students should save and be aware of the look out for as part of our new SPH student onboarding process.

September 24th – School of Public Health Fall Welcome
From 8:00am – 4:30pm PST (time subject to change). Be on the lookout for an RSVP request which will be sent via email to new students by July.

September 30th – OHSU New Student Orientation

If you require academic accommodations for a disability, set up an appointment with Chennettee Jelleberg, Director of the OHSU Office of Student Access. It is best to set up an appointment as soon as you can to be prepared in time for fall classes.

Onboarding Checklist

New SPH graduate students will need to complete all tasks by the designated due dates in the onboard checklist down below, unless specified otherwise. Select the drop down to ready more information about each task.

JUNE DUE DATES

June 17th

New Student Registration Opens

Priority registration is from June 17th – July 15th at 9:30am PST.

The School of Public Health uses Priority Registration to ensure there are enough seats in courses for students who need them that term. Therefore it is important that you register promptly guaranteeing your spot in your required courses.

Submit immunization Records and Immune status form to OHSU.

JULY DUE DATES

July 15th

Priority Registration Closes

Priority registration is from June 15th – July 15th at 9:30am PST.

July 29th

Immunization Records Due

Set up Citrix

Set up the Citrix web portal on your computer.

The Citrix Web Portal offers web-based, secure access to OHSU systems and applications from any computer. For example, you can use the Citrix Web Portal when you are working from home on a personally owned computer. Learn how to use the Citrix Web Portal.

Set Up OHSU Network

OHSU Student Self Serivces

Your OHSU network account grants you access to the OHSU library and network services, including your @ohsu.edu email address and Sakai, OHSU’s online course management platform.

You will receive access to your OHSU network account 60 days before the beginning of the fall term (around July 31st).

Watch for a message from OHSU’s IT Group (Computer Access), containing your OHSU network user name and access instructions. Sometimes the message looks like spam, so be on the lookout, and be sure to act on the instructions promptly.

Enroll In Duo Two-Factor Authentication

Enroll and install the Duo Two-Factor Authentication security application.

Start Pre Entrance Learning Modules

Start OHSU’s online pre-entrance learning modules, due September 9th.

Allow between two and four hours for completion. Once you have OHSU network access, you will be able to access Compass, OHSU’s online learning management system. Login and navigate to OHSU’s Intranet, at https://o2.ohsu.edu/

Then click on the Compass option in your shortcut menu. Complete the following modules:

  • Respect at the University
  • Integrity Foundations
  • Information Privacy and Security Essentials (IPS)

New students who are also OHSU employees:
You should already have completed these modules as part of the employee onboarding process. There is no need to repeat them.

AUGUST DUE DATES

August 12th - 19th

Initiate the OHSU Background Check

All SPH students must complete a confidential background check. Your name and email address will be provided to Advanced Reporting, OHSU’s security vendor.

Watch for a request in mid August from “automation at instascreen.net,” with specific instructions on initiating your background check.

The base fee for the background check is $35, but the exact amount will vary based on where you have lived prior to enrolling in the OHSU-PSU School of Public Health. Be prepared for $100 to appear on your credit card statement as a hold for the background check. The cost for students who have lived abroad in the past seven years can be significantly higher, and the check can take longer to complete.

Your background check must be complete and approved before the term begins – so please begin as soon as you receive the request.

*A special note to new students who are also OHSU employees: If you are an OHSU employee (not a volunteer), you might not need a new background check. OHSU’s Office of Public Safety will make a determination based on when, and by whom, your employee background check was conducted. If you receive a request in August, you need a new check.

August 22nd - September 1st

Select Student Health Services Provider

Review and select your student health services provider, Selection due September 1st.

All graduate students –except certificate, MD/MPH, and dual degree students – receive health services by default through OHSU’s Student Health & Wellness Center.

To select PSU health services complete the PSU Form by September 1st – Complete PSU Form.

SPH graduate students may choose whether to receive services at OHSU’s Student Health & Wellness Center (SHW) or PSU’s Center for Student Health & Counseling (SHAC). This election can be made only once a year, in the summer, and cannot be changed at other times of the year.

OHSU’s Student Health and Wellness Center accepts OHSU student health insurance. PSU’s Center for Student Health and Counseling does not accept OHSU’s student health insurance plan. Students who carry OHSU student health insurance and select PSU’s SHAC for health services, must be prepared to pay out-of-pocket, then submit receipts for reimbursement. If this is an issue, you should select OHSU’s Student Health and Wellness as your provider.

If you do not make a selection by the deadline, you will receive health services through OHSU’s Student Health & Wellness Center.

Students in dual degree programs do not have a choice.

Photo & Info For OHSU ID Badge

1) Submit Your Photo Information

The badge team has a new software for the 2024 orientations, called CloudCard, that can collect pictures directly from you, the student, via a link sent to your OHSU email address.

Photo Process:

  • You will be sent an individualized link to your OHSU email address in early August, inviting you to upload a photo to CloudCard, the software used by the OHSU badge team. CloudCard will automatically size, orient, and clean up the background of the photo.*
  • The link you receive will be specific to you and should not be shared.
  • Any photo submitted that does not meet passport requirements (full face, shoulders up, no sunglasses, no filters, etc.) will be denied and you will be asked to submit a new photo. The software will let you know if it is likely your photo will be denied.
  • Once a photo is received, your record is put in queue to be printed and will not be adjusted even if a different picture is submitted later. Be sure the first picture submitted is the one you want on your badge.
  • You must submit your photo by the September 9th deadline.
  • If an acceptable photo is not submitted by the deadline, your badge will not be ready at the OHSU New Student Orientation on September 30th.

2) Submit Your OHSU Badge Information

Students may elect to have their preferred first name, such as a nickname, as well as their pronouns, displayed on their badge. In addition, anyone with an active OHSU ID Badge is eligible for an annual HOP transit pass (TriMet or C-TRAN depending on your residence), subsidized more than 70% by OHSU off retail price.

3) Steps To Complete Before Picking Up Your Badge

Get your badge at the OHSU New Student Orientation on Monday, September 30th – if and only if you have completed all of your pre-entrance requirements by the deadline of September 9th.

  1. Background check cleared
  2. All required learning modules completed in Compass
  3. Immune status form submitted to OHSU Student Health and Wellness


Graduate students who complete all of their OHSU pre-entrance requirements will have their badges prepared in advance and may pick up their badges at OHSU Orientation on Monday, September 30. Be sure to bring a government-issued photo ID with you.

Badges not picked up at OHSU Orientation will be available at OHSU Campus Access and Commute Services on the South Waterfront Campus beginning Tuesday, October 1st. Badges not picked up after 30 days will be destroyed.

If you do not finish all of your pre-entrance badging requirements, and/or do not submit a suitable photo and badge information by the deadline, your badge will not be prepared in advance.

*Students in the online programs do not need their ID badge unless they attend in-person classes or access campus spaces.

To get your OHSU ID badge after the deadline has passed:

1) Ensure that all your pre-entrance requirements are complete. You cannot get a badge until all requirements are marked complete.

2) Contact sphregistration@ohsu.edu, using the subject line Badge Request: [Your Name]. Be sure to include the following information:

  • Your legal first and last names
  • Your OHSU Student ID (UID) number
  • Your preferred first name, if different from your legal name

An electronic badge request will be submitted to OHSU ID Services on your behalf. Once approved you have 30 days to pick up your new ID

You will receive a copy of the approved badge request at your OHSU email address.

Visit OHSU Campus Access and Commute Services to get your badge, and let them know your preferred pronounces.

Review Medical & Dental Insurance

Review your medical and dental insurance plans.*

You will be enrolled in OHSU’s student medical and dental insurance plans unless you can provide proof of comparable coverage. More information is at Student Health Insurance Plan.

If you have comparable coverage, use the links on this page to apply for waivers. There are two separate waivers to opt out of insurance coverage: one for medical and one for dental.

*NOTE:

  • Graduate Certificate students are not eligible for insurance.
  • MD-MPH students have already completed this step through SOM.
  • MPH/MSW and MPH/MURP students are insured through PSU.

SEPTEMBER DUE DATES

September 1st - 22nd

Activate PSU Network (ODIN) Account

PSU ODIN Account Overview

PSU will send new students activation instructions in mid-September.

Students who already have an academic record at PSU:
You will retain the same ID, username, password, and email address, and will not receive new instructions from PSU regarding your ODIN account.

Make sure that your PSU ODIN account is active before the term starts. For additional questions regarding PSU ODIN contact PSU IT.

Enroll in PSU Duo Two-Factor Authentication

Enroll in the Duo Two-Factor Authentication application with PSU.

Optional: Forward PSU Email To Your OHSU Email

If desired, you can forward your PSU emails to your OHSU email account.

Pick Up Your Student ID at PSU

Pick up your student ID at PSU campus. ID Cards will not be available to pick up until September 24th.

Students in the online programs (Cert PH and MPH PHP) do not need IDs unless they attend in-person PSU classes or need to access PSU campus buildings and resources. Cert PH and MPH PHP students can request a badge by visiting PSU Badge office.

Review Online Learning Basics

Get familiar with your online learning basics:

Deadline: Select Health Services Provider

Students are required to have selected their student health services provider by September 1st.

All graduate students receive health services by default through OHSU’s Student Health & Wellness Center. Or students can opt-in to PSU Health Services by completing their Opt-In form online.

September 24th

Attend School of Public Health Fall Welcome

At this event you will connect with other students, faculty, and staff, learn about campus resources, and meet with your academic program and classmates.

September 30th

Attend New Student Orientation - OHSU

Attend the New Student Orientation at OHSU.

Invitation will come from OHSU Student Services.

*Students in the online program (Cert PH and MPH PHP) are not required to attend in-person OHSU orientation. They will be sent a recording after the event.

OCTOBER RECOMMENDATIONS

October 15th - November 8th

Connect With Faculty Advisor

Each graduate student is paired with a faculty advisor shortly before classes start. Students should meet with their faculty advisor within the first term of enrollment to develop an overall program of study and identify opportunities to support their professional development. Winter term registration will open on Tuesday, November 12th.
